Job Description



  • Calendar Management: Manage and optimize the executive's calendar, scheduling meetings, appointments, and travel arrangements, while anticipating and addressing potential conflicts.


  • Communication: Serve as a liaison between the executive and internal/external stakeholders. Screen calls, emails, and other communications, prioritizing and responding when appropriate.


  • Travel Coordination: Plan and arrange detailed domestic and international travel itineraries, including flight bookings, hotel accommodations, transportation, and logistics.


  • Meeting Preparation: Prepare meeting agendas, take minutes, and ensure follow-up on action items. Coordinate all logistics for internal and external meetings, including virtual conferences and in-person events.


  • Document Management: Draft, proofread, and manage correspondence, reports, presentations, and other documents as requested. Maintain a well-organized filing system for easy access to important documents.


  • Project Support: Assist with various special projects, helping to track progress, meet deadlines, and keep the executive informed of developments.


  • Confidentiality: Handle sensitive and confidential information with discretion and professionalism at all times.


  • Relationship Management: Build and maintain relationships with key stakeholders, both internal and external, on behalf of the executive.

The Successful Applicant



  • Proven experience as an Executive Assistant, Personal Assistant, or similar role in a fast-paced environment.


  • Strong organizational and multitasking abilities with a keen attention to detail.


  • Exceptional verbal and written communication skills.


  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and various office management software (e.g., Google Workspace, Slack).


  • Ability to handle sensitive information with confidentiality and professionalism.


  • Strong problem-solving and decision-making skills.


  • Proactive and able to take initiative without constant supervision.


  • Ability to work independently and as part of a team.


  • Experience with project management tools is a plus.
