Job Description



  • Payroll Processing:
    • Process weekly payroll for all employees, ensuring that hours worked, overtime, bonuses, and deductions are accurately calculated.
    • Verify employee work hours and attendance using timekeeping systems.
    • Ensure that all employee pay adjustments, deductions, and benefits are correctly applied.
    • Review and process new employee information for payroll setup.


  • Payroll Record Maintenance:
    • Maintain accurate payroll records for all employees, ensuring confidentiality and compliance with company policies and legal regulations.
    • Update employee records to reflect changes in tax withholding, benefits enrollment, or pay rates.


  • Compliance and Reporting:
    • Ensure compliance with federal, state, and local payroll laws and regulations.
    • Prepare and submit payroll-related reports, including tax filings, deductions, and benefit contributions.
    • Prepare and distribute year-end tax forms such as W-2s, 1099s, etc.


  • Employee Inquiries:
    • Address and resolve employee payroll inquiries, including pay discrepancies and deductions.
    • Provide clear and timely communication to employees regarding their payroll status.


  • Collaboration:
    • Work with HR, accounting, and other departments to ensure the smooth operation of payroll.
    • Assist HR with onboarding new employees, ensuring payroll data is entered correctly.
    • Collaborate with management to resolve payroll-related issues or questions.


  • Data Entry and Systems Maintenance:
    • Input payroll data into payroll software, ensuring accuracy and timeliness.
    • Continuously review payroll software and systems for efficiency and accuracy.


  • Payroll Audits:
    • Perform regular audits to ensure all payroll data is correct and in compliance with company policies and government regulations.
    • Investigate and correct any discrepancies found during audits.



The Successful Applicant

  • Proven experience in payroll processing, ideally with a weekly payroll cycle.
  • Strong understanding of payroll regulations and tax laws.
  • Proficient in payroll software and timekeeping systems.
  • Strong attention to detail and organizational skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Good communication skills to work effectively with employees and management.
  • Knowledge of accounting principles and practices.
  • Excellent problem-solving skills and ability to resolve payroll discrepancies.
