Job Description



  • Maintaining appropriate tools, systems and processes throughout the life cycle of a programme or event to support their effective delivery
  • Scheduling and organising event/programme related meetings, generating agendas, maintaining and distributing meeting minutes where required and capturing actions without guidance
  • Liaising as appropriate with counter-parts in key partner organisations and with speakers, including organising travel and monitoring expenses where appropriate
  • Assisting in the drafting, formatting, and checking of event & programme documentation including invitations, programme brochures, online event advertisements and news articles
  • Producing and keeping up to date our events database
  • Monitoring expenditure on events
  • Typing up documents, proposals and preparing other client documents
  • Extensive diary management
  • Meet and greet clients and candidates visiting the office, including preparing tea/coffee for meetings and arranging in-house catering as required
  • Acknowledging and logging speculative files
  • Answering the phone/taking and forwarding messages
  • Using and upkeeping our database system in line with GDPR and company guidelines
  • Other general administration and secretarial support



The Successful Applicant

  • be collegiate, reliable and able to work to tight and short notice deadlines and be able to roll your sleeves up and help out as necessary within the team
  • have a keen eye for detail to ensure all tasks are completed correctly without mistakes
  • be data savvy and organised - quick with data and numbers
  • be a good communicator, both verbally and written
  • be able to work in a multi-disciplinary, dynamic and pacey environment
  • be good at multi-tasking, well organised and be able to cope with ambiguity/have the ability to pivot quickly
  • enjoy working independently and as part of a team and be able to manage/prioritise workload while keeping everyone up to date on progress
  • be willing to learn and help others to learn
  • have strong experience in Microsoft Office applications particularly word and excel
