Job Description

The key responsibilities of the Office Manager role include:



  1. Office Management:
    • Overseeing daily office operations to ensure a professional and efficient environment.
    • Managing and providing leadership to a small administrative support team.
    • Handling procurement and maintaining inventory of office supplies and equipment.
    • Serving as the primary point of contact for general office and facility-related inquiries.
    • Maintaining office conditions, coordinating repairs, and ensuring compliance with health and safety regulations.
    • Managing contracts and price negotiations with vendors, service providers, and lease agreements.
    • Overseeing the office budget and ensuring accurate and timely reporting.
    • Verifying and ensuring timely payment of invoices.
    • Liaising with facility management vendors (e.g., cleaning, catering, and security services).
    • Planning and organising in-house and off-site activities, including events, celebrations, and conferences.
    • Evaluating administrative functions and implementing process improvements.
    • Performing regular inventory checks and ordering office supplies as needed.
    • Reviewing and renewing leases and insurance contracts.


  2. Administrative Support:
    • Providing executive-level administrative support to Directors and senior management.
    • Preparing reports, presentations, and documentation as required.
    • Organising meetings, drafting agendas, recording minutes, and ensuring follow-up actions are tracked.
    • Coordinating company-wide initiatives such as staff well-being and health programs.


  3. Facility and IT Coordination:
    • Scheduling and overseeing facility maintenance and repairs with external vendors.
    • Acting as the liaison for IT escalations, working closely with the HQ IT team when required.


  4. Human Resources Support:
    • Assisting with recruitment, onboarding, and offboarding processes.
    • Supporting employee engagement initiatives and internal training programs.


  5. Health, Safety, and Security:
    • Ensuring compliance with health, safety, and welfare practices across the business.
    • Maintaining site security and ensuring adherence to company policies and legal standards.
