Job Description

Key Responsibilities:

Office Management:

  • Oversee daily office operations to ensure a smooth operations
  • Prepare and implement office policies and procedures, including health and safety regulations
  • Work closely with service providers and vendors
  • Liaise with building management for office facility and office maintenance issues
  • Oversee office supplies and inventory management to ensure adequate stock levels and timely replenishment
  • Welcome visitors, handle phone inquiries, sort mail, and manage courier services
  • Provide support on staff on/off boarding, benefits administration tasks



Secretarial:

  • Providing secretarial support to a senior executive including calendar management, meeting coordination, expenses management, travel & accommodation coordination



Accounts Management:

  • Handle invoice payments
  • Coordinate with accountant regarding financial issues

Compliance:

  • Ensure the upkeep of compliance records



The Successful Applicant

Qualifications:

  • Proven experience as an Office Manager, Personal Assistant in financial services
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office software
  • Strong organisational, time management, interpersonal skills
  • Attention to detail and strong problem-solving skills
  • Ability to work independently and as part of a team
