As well as providing valuable services, they are a very friendly team and you would be working in a very fast paced but supportive environment.Job DescriptionThis is a very varied role. You will be doing everything from data entry and lots of database manegemnt, to supporting arrangeing large scale events including liasing with high profile speakers. Main purpose of the Role: To support the Director of Operations and the team with a variety of administrative duties.Support with planning and delivery of events.Provide excellent customer service.Contribute to the updating of the CRM database.Manage events and room booking diary, ensuring a high level of accuracy. Main Areas of Responsibility: Administration Provide general administrative support to the Director of Operations and the general team as directed by Director of Operations.Answer phone calls, take messages and deal with enquiries.Undertake minute taking and the prompt production of minutes, ensuring that matters arising are allocated to the relevant leads. Ensure that these are completed in time for the next meeting.EventsManage the events and room booking diary, ensuring a high level of accuracy.Liaise with all appropriate staff in relation to each booking.Support with the planning, organisation and delivery of events as directed by the Director of Operations.Take payments form members and visitors at events.Be the point of contact for certain events.Liaise with staff, volunteers & board members keeping them informed of the progress of event planning and management Membership Ensure the CRM Database is kept up to date.Run reports from CRM database as required.Support with membership engagement.Support with monthly membership updates. Procurement Research and source best value resources.Ensure there are sufficient office supplies available. GeneralPositively and professionally represent staff team to members and the wider public at all times.Communicate effectively and work productively with all staff.Be a team player in all activities.Foster positivity and productive working relationship with all internal and external stakeholders, contractors, suppliers and agencies.Exercise a high degree of probity and personal integrity in dealing with both internal and external stakeholders, contractors, suppliers and agencies.Please note, we are an organisation that looks to constantly improve the service it provides for all stakeholders.
