Job Description

  • Provide comprehensive administrative support to the Senior Director in a professional and timely manner.
  • Manage and triage enquiries to the team, ensuring effective communication flow.
  • Take ownership of the Senior Director's diary, managing appointments, resolving conflicts, and prioritising commitments.
  • Assist with email and in-box management, actioning tasks on behalf of the Director when required.
  • Coordinate and distribute documents and papers to support meetings and decision-making processes.
  • Arrange travel, accommodation, meeting logistics, and greet external visitors when needed.
  • Process work expenses on behalf of the Senior Director.
  • Collaborate with the Business Manager on business and workforce planning, budgeting, recruitment, business continuity, and establishment lists.
  • Build and maintain strong working relationships with internal and external stakeholders across varying levels.
  • Organise and support team meetings and hybrid away-days, including agenda preparation and minute-taking.
  • Provide administrative support to the wider management team and Project Directors as required.
  • Provide PA cover for other senior leaders across the organisation as needed.



The Successful Applicant

A successful Personal Assistant should have:

  • Demonstrable experience in a high-level administrative or PA role, including managing diaries, workflows, and a busy in-box.
  • Strong interpersonal and team collaboration skills with the ability to build effective relationships at all levels.
  • Experience supporting senior stakeholders and working confidentially.
  • Excellent communication skills, both written and verbal, with the ability to tailor communication to different audiences.
  • Proficiency in Microsoft Office, particularly Teams, Outlook, Word, Excel, and SharePoint.
